The 'Accounts Receivable' report gives you a detailed listing of the balance due for individual subscriptions. Like the 'Deferred income' report, this is too much detail for most publishers but can be valuable for high priced publications.

When sorting the 'Accounts receivable' report by renewal series or using the 'Renewal series' fields on the 'Category' tab, only orders that were created by the renewal series specified are reported.

General tab:

Sorted by

The ten versions of this report differ only in the order in which the report presents the data. Each of the ten versions of this report breaks out the orders you select by a different main category—channel, tracking code, list, and so forth.

Left click once in this field to select from a list of "sort" options.

Summary, Detailed by

The detailed report tells you the amount receivable for each order. The summary report does not break out the receivable for each individual order. There are four versions of the detailed report (detailed by customer name, detailed by company, detailed by invoice date, and detailed by AR amount). If you select the 'Detailed by company', QuickFill will always produce the version of the report that includes the customer company, regardless of your selection for 'Include company name' (see below).

Include company name

If you select this field, then the detailed report will include the company name as well as the individual name of the customer. Note that if you select 'Detailed by company', the report will always include the company name, regardless of your selection here.

Order date

Leave the 'Order date' field set to "All dates," and your report will include receivables for all orders. Enter dates into this field, and your report will only include receivables for orders entered between the dates you've specified.

Invoice date

Leave the 'Invoice date' field set to "All dates," and your report will include receivables for all orders regardless of the date that QuickFill first produced an invoice for them. Enter dates into this field, and your report will only include receivables for orders for which QuickFill first produced an invoice between the dates you've specified.

Amount owed

Leave the 'Amount owed' fields as they are, and your report will include receivables for all orders. You can select only those orders with large receivables by changing the range of the amount owed, or you can select orders with credit balances by entering negative numbers.

Random numbers

Leave the 'Random numbers' fields blank, and your report will include all renewals, regardless of a customer's random number. Fill in one or more ranges, and your report will include renewal rates for customers with random numbers in those ranges only. Click here for a more detailed explanation of random numbers.

Times renewed

Leave the 'Times renewed' fields blank, and your report will include subscriptions, regardless of the number of times they have been renewed. Enter a range in these fields, and your report will include only those subscriptions that have been renewed within that range.

Category tab:

Include 'all other' category

Sometimes it is useful to be able to compare the receivables of a given marketing plan, list, channel, or package against all of the others. To do this, check this field and then select one or more codes in the major category on which you are reporting. For example, suppose you selected the 'Accounts receivable by marketing plan' report. Select the 'Include all other' field, then fill in the 'Marketing plans' field with the plan codes you want to examine and the report will include one section for each of the plan codes you selected, plus an "All other plans" section.

Accounts receivable vs. general ledger reports

If you run the 'Accounts receivable' report using the default filter, your report will not tie out to the 'General ledger' report. The 'Accounts receivable' report, in this situation, does not include credit balances; the 'General ledger' report always includes credit balances. In order to include credit balances in the 'Accounts receivable' report, enter
"-999999.99" in the "from" range of the 'Amount due' field.
