Prospects transaction

When you enter a prospect, QuickFill displays the customer address, qualification data (if you have the QuickFill Audit System), and source forms. Please note, the qualification data form only appears if you enter an audited publication into the 'Publication' field. (Click here for an overview of prospects.)

Customer address and qualification data form

You use these screens to enter the prospect's name, address, and qualification data. If you are entering a prospect record for an existing customer, enter their customer number here. QuickFill will fill in the rest of the address fields for you and then you can either leave the address as it is or click on "Change Address" and make any necessary changes to it. If you want to check to see if the customer is in your database (and/or to find the customer's number), click on "Lookup" with the cursor in this field.

If you have several prospects to enter and all of them are from the same company, you can save time by clicking on the "Replicate" button to duplicate the address from the last prospect you entered. QuickFill will copy the address from the prior record and allow you to make any necessary changes (such as to the prospect's name or title).

When you have completed the customer address and qualification data forms, click on the "Source" tab to move to the source form.

Source form

The source form shows the fields you should fill in to complete the prospect record.

List

Enter the code that identifies the mailing list from which you got this name. You may type the code in this field, or right click to obtain a list of the codes that have been defined. You must have previously defined the list code using the 'Define Mailing Lists' screen, which you will find under 'Marketing' on the 'Definitions' menu. (Click here for details on defining lists.)

Publication

You may enter a publication code in this field by typing it, or right clicking to select from a list of publication codes. Entering the publication code is only useful in the audit system; it is used to indicate that the person is a qualified prospect for a specific publication. Normally, in the nonaudit system, you will leave this field blank.

Request type (audit system only)

If the prospect you are entering is linked to an audited publication, you must enter a request type code in this field. You can type in the correct code, or right click to select from a list of request type and classification codes. (Click here for a list of request types.)

 

When you finish filling out the form, click on "OK." At this time, QuickFill will search your database for any duplicates. If no duplicates are found, QuickFill returns you to the batch header form and shows you a summary of the transaction you've just entered on a line on the bottom half of the screen. (You'll see the customer name, their company or city and state, and their zip code.) If the batch is balanced it will ask you if you want to post it.
